Executive Assistant

WSHA has been in existence for over 80 years, and continues to grow and evolve as the needs of Washington Residents and our member hospitals change.  We are located in beautiful downtown Seattle, surrounded by wonderful views of Puget Sound and the Olympic mountains, with easy access to  bus lines or underground parking, and we are currently recruiting for an Executive Assistant.

The Executive Assistant position is a full-time position, and is responsible for providing a high level of administrative support, meeting and conference planning and management, as well as organization infrastructure with professionalism. This position fosters a positive, effective and efficient organization for staff, Association members, and all other constituencies relating to the Washington State Hospital Association.

Specific duties of this position include, but are not limited to:

  • Maintain and manage complex schedules, calendars, meetings, travel and conference arrangements in a fast paced environment.
  • Compose and send correspondence requiring independent judgement and knowledge of Association and department operations and procedures, including editing content of documents and presentation materials.
  • Work closely with senior leadership and C-suite level staff in assigned tasks and responsibilities, while maintaining confidentiality and appropriate discretion as needed.
  • Schedule and coordinate a high volume of meetings and web conferences, including reserving space and appropriate resources, managing attendee lists and invitations, disseminating meeting materials and coordinating other needed logistics. This includes assisting with events, some of which are off site and some of which may have 150+ attendees.
  • Prepare routine and advanced correspondence which may include letters, memoranda, reports, bulletins and newsletters, and conduct related research or collects/analyses related data as needed.
  • Receive incoming calls and administrative mail, and respond accordingly.
  • Maintain a working knowledge of the Association’s practices and procedures.
  • Provide administrative support to Patient Safety and WSHA strategic initiatives, including support for Senior Vice President and Directors as needed.
  • Manage complex mailing lists and contact database.
  • Exercise independent judgment and confidentiality, and complete tasks professionally and on-time.
  • Show personal initiative and follow-through on work assignments.
  • Work effectively and efficiently as part of a team with the leadership of WSHA and with internal and external clients with a strong customer service focus.
  • Manages multiple conference call planning each week presenting to hospitals in a way that helps hospitals attend and get needed information. Keeps staff on schedule
  • Perform additional duties as assigned.

Desired qualifications, skills, and abilities

  • Bachelor’s degree or equivalent experience required.
  • At least five (5) years of administrative work experience in an office setting.
  • Excellent written and oral communication skills.
  • Strong attention to detail and the ability to organize and prioritize assignments.
  • Exceptional customer service orientation with high degree of professionalism.
  • Ability to successfully navigate a variety of technological and computer-based tools including printers/copiers, internal databases and phone/web conferences.
  • Demonstrated ability in proofreading.
  • Ability to successfully manage multiple priorities and projects simultaneously in a fast paced environment.
  • Demonstrated critical thinking and problem solving abilities.
  • Ability to work well in a team environment or independently.
  • Proven ability to work effectively and efficiently with diverse populations, including hospital board members, CEOs, quality leaders, physicians, governmental and regulatory agencies, payers, other associations and groups, as well as internal peers and leadership of WSHA.
  • Ability to exercise independent judgment and keep confidentiality while completing tasks professionally and on time.
  • Able to manage complex projects with little supervision.
  • Access to a vehicle and the ability to periodically travel within Washington State to offsite meetings.
  • Ability to work successfully in a collaborative, team environment.
  • Highly proficiency with MS office, Outlook, Excel, Powerpoint required.
  • Knowledge of HTML and experience updating website content preferred but not required.
